What Is MaintainX?
MaintainX launched in 2018 out of San Francisco with a clear bet: build a CMMS that actually works on a phone, not a desktop product with a mobile app bolted on. That focus shows technicians get up and running fast, and the onboarding friction that plagues many CMMS rollouts is largely absent here.
The core product covers work orders, preventive maintenance, asset management, parts and inventory, procedure templates, and operator rounds. Its built-in messaging layer stands out: conversations happen directly on the work order, not in a separate Slack thread.
MaintainX has raised roughly $254 million across five funding rounds, including a $150 million Series D in July 2025 backed by Bessemer Venture Partners, Bain Capital Ventures, and D.E. Shaw, reaching a $2.5 billion valuation. In May 2026, Autodesk announced a definitive agreement to acquire the company for approximately $3.6 billion a strong signal of where the market thinks mobile-first maintenance software is headed, and a deliberate continuation of MaintainX's push upmarket toward larger buyers. As our review found, though, the product still carries some constraints from its SMB origins.
Core Features of MaintainX
a) Work Order Management
The work order experience is genuinely clean creating, assigning, and closing jobs is fast, and the mobile UX makes updates simple in the field. Custom fields, checklists, and photo attachments are all there and easy to configure. Where it gets harder is complex workflows: conditional routing, multi-team escalations, and SLA enforcement aren't well supported natively, and teams end up building workarounds.
b) Preventive Maintenance
PM scheduling is straightforward time-based and meter-based triggers, cloneable templates, a calendar view that works well for smaller operations. The strain shows at scale: organizations managing hundreds of assets across multiple locations report that filtering and bulk scheduling tools aren't robust enough to handle the volume cleanly.
c) Asset Management
Asset profiles are solid maintenance history, documents, and linked parts are all there, and for equipment-centric industries like manufacturing or hospitality this works well. The limitation shows up when a true asset hierarchy is needed: buildings feeding into floors, floors into systems, systems into equipment. MaintainX caps hierarchy at two levels an asset and a sub-asset which flattens real industrial structures like Site → Building → Line → Machine → System → Component into simpler records than the operation actually has. Rolling up KPIs from sub-assets to parent assets isn't always clean as a result, which matters when reporting across a portfolio.

d) Parts and Inventory
Parts tracking, reorder alerts, and purchase orders cover the basics well for single-site teams all gated behind the Premium tier and above. Multi-location inventory control is where gaps start to show.
e) Reporting and Analytics
Standard reports and dashboards cover work order metrics and PM compliance well enough for day-to-day management. MaintainX Intelligence, available at higher tiers, adds trend analysis and downtime reporting. G2 scores MaintainX 8.8/10 for Reporting and Dashboards solid, but trailing Limble's 9.0 in the same category. One G2 reviewer, a facilities manager, described feeling that capabilities available at lower tiers over time got repackaged and moved to higher plans. A Capterra reviewer separately noted that generating custom insights from the reporting felt limited.
f) Built-In Messaging
This genuinely differentiates MaintainX. Conversations are threaded directly onto work orders technicians, operators, and managers in the same place, in context rather than in a separate tool. The caveat: it's internal only. There's no structured intake channel for external vendors or, in a facilities context, tenants or occupiers.
g) Mobile Experience
The best mobile experience in the CMMS category. Offline mode, barcode and QR scanning, and photo capture all work the way a modern mobile app should, and frontline adoption tends to be high as a result. The flip side: the mobile-first priority means the desktop experience can feel secondary for managers doing complex configuration or bulk scheduling.
h) Operator Rounds and Inspections
A genuinely strong capability, particularly for food production, hospitality, and manufacturing teams. Non-maintenance staff can complete digital rounds, log readings, and trigger work orders directly from field observations. The limitation: rounds generate data, but someone still has to triage it. There's no automated routing from inspection finding to assigned work order; that handoff is manual.

Native integrations cover common ground Zapier, Slack, and a range of accounting and ERP tools. The REST API is available on Premium and above for custom connections; deep ERP integrations with SAP or Oracle sit behind Enterprise

MaintainX's AI: What It Can and Cannot Do
MaintainX has been building out AI under the CoPilot and MaintainX Intelligence umbrella. As of 2026, headline features include AI-assisted work order descriptions, parts suggestions drawn from historical data, natural-language reporting, failure prediction, parts demand forecasting, and an in-app assistant that lets technicians ask questions about an asset or manual by tapping pre-populated prompts or using voice input.
What's genuinely useful: AI-assisted work order creation cuts keystrokes by suggesting descriptions and relevant parts based on asset history meaningful for high-volume, repetitive work orders, especially on mobile where typing is slower. The CoPilot in-app assistant is a real aid for new technicians working on unfamiliar equipment.
Where a human is still required: every AI feature in MaintainX is assistive. The platform surfaces a suggestion; a person decides whether to act. There's no autonomous dispatch and no end-to-end execution that closes the loop without someone in the middle. That's not a knock on assistive AI's value it's a distinction worth being clear-eyed about if the buying decision hinges on whether AI will reduce operational load or just make individuals somewhat faster. Reception to CoPilot on review sites is mixed so far; one Capterra reviewer described the AI and OEM features as unusable due to inaccurate data, and MaintainX's own 2026 factory-floor report found 79% of teams observed unplanned downtime stayed stable or increased despite AI adoption worth factoring in before treating AI capability as a deciding factor.
